Position Overview:

Primary Job Duties:

  • Manage the administrative desk and lobby area including but not limited to: acting as the Mid-States “concierge” to all of our guests, arranging ground transportation, coordinating delivery services, organizing meetings/meeting space, etc.
  • Create and manage Excel spreadsheets including routine entry and manipulation of spreadsheet data.
  • Assist Program Managers with PowerPoint presentations as needed. They’re pretty good at this on their own but sometimes they just need a little help!
  • Communicate and interact directly with supplier and member communities to assist with matters relating to their registration for our Trade Shows.
  • Collaborate with Program Managers to produce materials needed for internal Committee meetings.

Minimum Qualifications:

  • Fabulous, service oriented, can-do attitude
  • Willingness to have fun while being productive
  • Hands-on team player with a high level of energy
  • High school diploma
  • 1-2 years of work experience as a Receptionist, Administrative Assistant or Ambassador to the UN
  • Proficient computer skills using Microsoft Office (specifically Excel, Word & PowerPoint)
  • Capability to clearly and effectively communicate on the phone and in face-to-face situations
  • A high level of accuracy, attention to detail and time management skills
  • The aptitude to learn tasks quickly and to proactively seek assistance when needed

Compensation:

  • Starting salary for this position is 40k annually for qualified candidates but is negotiable based on experience.

Position Overview:

We’re looking for an outgoing, service oriented professional individual who enjoys a dynamic, fun filled work environment to be the voice and “first face” of our company for candidates.  We offer a unique business environment.  In short, our business is booming and our staff is awesome! We’ll rely on you as a member of our team and will ask you to share your administrative, organizational and communication skills.  You’ll collaborate closely with the CFO/Controller and Leadership Team Managers to assist with a unique mix of projects.

Primary Job Duties:

  • Creatively recruit and attract the best candidates by advertising, interviewing and managing the overall hiring process.
  • Develop and maintain professional relationships with colleges, universities, community colleges, community organizations and placement offices as a source for generating qualified candidates for positions.
  • Talent Management: Recruiting, Onboarding, Talent Development, Encourage employee satisfaction and Long-term retention.
  • Actively update practices and policies for the Associate Handbook.
  • Manage the administration of benefits offered to our associates (Medical, Dental, Life, LTD, Vision, 401(k), etc.).
  • Track and analyze employee data by creating and managing Excel spreadsheets including routine entry, exporting files and manipulation of spreadsheet data.
  • Communicate and interact directly with both associates and third-party suppliers, handling confidential and sensitive data with good judgement and within HIPAA standards.
  • Collaborate with department managers to write or revise job descriptions.
  • Research and respond to participant benefit plan inquiries.

Minimum Qualifications:

  • Strong communicator with the ability to engage across all levels of the organization, exercising a high degree of confidentiality, professionalism, poise, tact and diplomacy to accomplish objectives.

Accounts Payable Specialist

Job Overview: 

We’re looking for an outgoing, service oriented professional individual who enjoys a dynamic, fun filled work environment.  This role is a full-time, non-exempt position whose primary job function is to perform general accounting functions for the accounts payable group.  Job duties are listed below. This individual will add value as a member of the business unit through strong organizational, technical and communication skills.

Primary Job Duties:

  • Entering invoices in to the accounts payable system
  • Auditing EDI batches
  • Accurate matching of checks with appropriate backup
  • Work on resolution of past due items and reconciliation of vendor aging statements
  • Assist in the processing of credit and claims filed by our members
  • Assist with the new vendor setup process
  • Handle calls/email requests and vendor correspondences in an courteous and professional manner
  • Communicate clearly and effectively on the phone, in email and face-to-face
  • Organize your job duties, time, office files and space for maximum efficiency
  • Perform special projects and duties as requested 

Minimum Qualifications:

  • Associate in Accounting Degree/Certificate
  • Minimum 1-2 years of accounting work experience
  • Proficient computer skills using Microsoft Office (Excel, Outlook and Word)
  • Proficient 10-key and keyboard aptitude, data entry accuracy and speed
  • Strong attention to detail
  • Proficient with the use of office equipment (label machines, copiers, fax, scanners and printers)
  • Language and reasoning skills that provide the ability to read and comprehend short correspondence and memos as well as common sense understanding to carry out instructions furnished in written or oral form
  • Mathematical skills that include the ability to add, subtract, multiply and divide in all units of measure
