Accounts Payable Specialist – Full Time

REQUIRED EDUCATION AND EXPERIENCE
• Associate in Accounting Degree/Certificate
• Minimum 1-2 years of accounting work experience

ESSENTIAL FUNCTIONS
• Entering invoices in to the accounts payable system
• Auditing EDI batches
• Accurate matching of checks with appropriate backup
• Work on resolution of past due items and reconciliation of vendor aging statements
• Assist in the processing of credit and claims filed by our members
• Assist with the new vendor setup process
• Handle calls/email requests and vendor correspondences in an courteous and professional manner
• Communicate clearly and effectively on the phone, in email and face-to-face
• Organize your job duties, time, office files and space for maximum efficiency

COMPETENCIES

Inventory Analyst – Midco

Are you “kind of a big deal” but the big corporate environment is making you feel like just another number? Mid-States is looking for a talented Inventory Analyst who wants to ditch their boring “office job” for a dynamic, fun filled, and casual work environment. Mid-States offers a unique business environment with a contemporary culture and we are growing fast! This new role is a full-time, exempt position and will team up with our 2 other talented Inventory Analysts to manage all aspects of order flow and inventory between suppliers, Mid-States and customers. His/her focus will be on maximizing inventory turns while maintaining in-stocks and order fill goals and on efficiently utilizing supply chain to minimize costs.

Midco Distributing, LLC (“Midco”) is the centralized sourcing, purchasing and distribution operation of Mid-States that identifies strategic procurement opportunities to leverage the collective volume of the members so that purchasing and supply chain costs are optimized for the Members.

REQUIRED EDUCATION AND EXPERIENCE
• Bachelor’s degree or higher from an accredited college or university
• 2+ years business experience in the Retail or CPG industry (Inventory, Merchandising, Merchandise Planning, or Retail experience preferred)
• Financial analysis and/or forecasting experience
• Experience with Long Lead Time Suppliers/Imports

ESSENTIAL FUNCTIONS

Replenishment and Allocation
• Monitor sales & receipts on weekly basis to align replenishment levels with established KPI’s
• Constant review of order multiples to aid in ordering & warehouse efficiencies
• Utilize and maintain ladder plans to provide supplier forecasts and accurate orders
• Collaborate with members to develop and implement replenishment models & timelines such as seasonality, new launches, promotions and existing Items
• Partner with Category Manager on supplier setup requirements to ensure aligned with replenishment needs and goals

Planning and Analysis
• Weekly tracking and assessment of internal/external data: Scorecard and POS tracking, inventory on hand, customer order frequency and forecast accuracy
• Constant review of Aging Inventory to minimize obsolete or excess inventory
• Forecasting & Reporting – Contribute to sales forecast across all suppliers and customers, gaining input from the total team
• Logistical data and supply chain analysis to optimize freight while reducing expenses inbound as well as outbound

Communication and Relationships
• Active involvement in cross functional teams while being single point of contact for all inventory and replenishment issues
• Maintain collaborative partnership with members, suppliers, warehouse, transportation and internal partners to ensure optimal inventory levels achieved most efficiently through the supply chain
• Provide Suppliers monthly sales reporting

System/Process Improvements
• Develop understanding of system capabilities and restrictions in ERP system
• Present results and action plans broadly to both internal and external organizations, and make recommendations for process improvements where applicable
• Help to establish best methods in ERP System & overall processes

Sales Support Specialist – Midco

Mid-States is looking for a talented Sales Support Specialist who enjoys a dynamic, fun filled work
environment. Mid-States offers a unique business environment with a contemporary culture and
we are growing fast! This role is a full-time, non-exempt position and will be responsible for
managing sales from order entry to delivery to the customer. The Sales Support Specialist will be
the single point of contact for all customer questions and will work with the customer,
warehousing and logistics teams.

REQUIRED EDUCATION AND EXPERIENCE

  • Bachelor’s degree or higher from an accredited college or university
  • Minimum 1-2 years of customer service experience
  • Excellent analytical and computer skills, including data manipulation and interpretation using Excel.

ESSENTIAL FUNCTIONS

  • Data Entry
    • Receives and accurately processes all Customer orders in a fast-paced environment with a focus on accuracy
    • Monitor all Customer orders to ensure Customers adhere to the negotiated costs, due dates and order multiples
    • Reviews each Customer Order to ensure product is sourced correctly to achieve Customer delivery dates while maximizing profitability (ex. Direct Dropship or Warehouse Order) 
  • System Utilization & Maintenance
    • Responsible for setting up and maintaining Customer accounts within ERP
    • Responsible for entering Sales Orders and Purchase Orders into Midco’s system as well as 3rd Party Warehouse and Logistics Systems in an efficient and accurate timeframe
    • Ability to understand/adapt to new system(s)
  • Customer Service Support
    • Provide exceptional customer service to our Customers
    • Provides knowledgeable answers to questions regarding order status, product availability, pricing and order tracking
    • Review backorders and contact customers with timing and action of product availability
    • Weekly Review of order status to ensure on-time delivery of Sales orders to our Customers
  • Communication & Relationships
    • Communicate out customized reports & scorecards daily/weekly for our Customers
    • Proactive communication to Customer on Sales Order issues (Incorrect: Price, Item #, Order Multiple, Due Date, Discounts, etc.)
    • Responsible for communicating to 3rd Party providers (Warehousing & Logistics) specific details on Customer Sales Orders
    • Maintain collaborative partnership with customers, warehouse, transportation and internal partners
    • Responsible for answering all email correspondence into and from the Midco purchasing inbox and following up to ensure resolution
    • Recommend and implement process improvements
